Meetings Are Full of Sensitive Information
People share phone numbers, email addresses, client details, and sometimes medical or financial information in meetings without thinking twice. In a live conversation, that information is ephemeral. In a transcript, it is permanent and searchable.
PII redaction ensures that sensitive personal information is automatically removed from your meeting transcripts and summaries before they are stored or shared.
What Gets Redacted
Beaver AI's PII redaction identifies and removes the following categories of personal information:
- Email addresses: Any email address mentioned in conversation
- Phone numbers: Mobile, landline, and international formats
- Physical addresses: Street addresses, postcodes, and location details
- Identity numbers: National insurance numbers, passport numbers, and similar identifiers
- Financial data: Credit card numbers, bank account details, and transaction references
- Medical information: Health conditions, treatment details, and clinical data
- Credentials: Passwords, API keys, and access tokens that are sometimes read aloud
Redacted items are replaced with category labels (e.g., [EMAIL_REDACTED]) so the transcript remains readable and the context is preserved.
Why Automatic Redaction Matters
Manual redaction is impractical. A busy team might generate hundreds of pages of transcript per week. Asking someone to read through every line and remove sensitive data is expensive, slow, and error-prone.
Automatic redaction runs as part of the transcript processing pipeline. By the time anyone reads the summary, the sensitive data is already gone.
Compliance Considerations
PII redaction supports compliance with:
- GDPR: Minimising personal data in stored records
- HIPAA: Removing protected health information from meeting documentation
- SOC 2: Demonstrating data minimisation practices
- Internal policies: Many companies have data retention policies that PII redaction helps enforce
How to Enable It
PII redaction can be enabled per user in your Beaver AI settings. When enabled, it applies to all future meetings automatically. Start a free trial and keep sensitive data out of your meeting records.
